Each visit raises its own job on the morning it falls due, with its tasks, parts and assets on the job. What an Agreement Holds
What It Covers is one rule: every asset the customer has, only certain kinds of asset, or only the assets you pick. The first two cover assets added later too. While you write, What This Raises lists the visits the agreement will raise, in date order, and whether the billing adds up to the contract value.

A Service Contract, From Signing to Paid Invoice
Write the Agreement
Pick the customer and a site, or all their sites, and set the term. Choose what it covers: every asset they have, certain kinds of asset, or the ones you pick. Beside the form, What This Raises lists the visits it will raise and whether the billing adds up to the contract value.
Set the Visits
Each visit falls due by date and how often, in the months of a season, or by an asset's run hours or meter reading. Give it its assets, technician, labour allowed, tasks, parts, forms, skills and licences, or load a task list from the Task Library.
The Job Raises Itself
At about 5am Brisbane time on the day a visit falls due, Deployr raises a Preventative Maintenance job for the customer and site, with the visit's tasks as its checklist, its parts and assets listed, and its technician and hours on it.
Do the Work
The technician works the job on their phone. With the offline pack downloaded, checklist ticks, typed notes and defects save without signal and sync when the phone reconnects.
Bill It
Maintenance → Billing lists what's ready: a period at a time, each visit once its job is done, or the contract value up front. Raise Invoice makes a draft to check and send, and Billing History keeps a period or visit from being billed twice.
What the Office Sees
The Service Timetable
Every running visit on an active agreement, in due order with the overdue first. The count line picks out what's overdue, due in the next 14 days, over its included callouts or parts, and due for renewal.
Contract Health, Counted From the Jobs
Each agreement counts the callouts and parts used this term from its jobs, against what's included, and shows what's been billed, what it cost and the margin this term. Export Agreement prints the agreement, its visits, what's been used and its billing on your letterhead.
Renewals That Don't Slip
An agreement counts among renewals due from its Renewal Reminder days before the end date. With Renews Automatically on, it rolls into a new term the morning after it ends; without, it becomes Expired and its visits stop.
What the Customer Sees
Portal contacts with maintenance access see the agreement's name, dates, response time, included callouts and how many are used this term, the billing amount, and what's included and excluded. They don't see its notes, contract value or parts allowance.
Before You Start
Worth Knowing
- Nothing is billed on its own: Deployr raises each draft invoice when you ask it to.
- Operating Hours and Meter Reading visits fall due when an asset's recorded figure reaches them. Those figures come in with an asset import, and no screen updates them yet.
- An imported agreement brings the contract across without its visits. Set each one's visits in Deployr.
- The trade packs' registers keep their own due dates, and those don't raise jobs. An agreement's visits do.

- Yes. Each visit on an active agreement raises its own job at about 5am (Brisbane time) on the day it falls due. A visit that's missed stays due until its job is raised, and Generate Job raises one early. Read how

- Yes. Cover every asset the customer has, or only certain kinds such as chillers or backflow prevention devices, and an asset added later is covered without touching the agreement. A list of assets you pick stays fixed. Read how
- Can visits be scheduled by run hours or by season?
- Yes. A visit can fall due by date and how often, in the months of a season, or when a covered asset's operating hours or meter reading reaches a figure. Those figures come in with an asset import, and no screen updates them yet.
- How does billing a maintenance contract work?
- By the agreement's Billing Frequency: Monthly, Quarterly, Six-Monthly or Annual bills a period at a time; Per Visit bills each visit once its job is done; Upfront bills the contract value once.
