Gas on a Job, From the Cylinder to the Invoice

  1. Register the Cylinder

    New Cylinder records its number, refrigerant, size and weight, supplier, where it's kept and who has it. Mark recovery cylinders, and cylinders a customer owns.

  2. Send Someone Licensed

    Tick Refrigerant Handling under Licences Needed on the job. The dispatch dialog's match score checks each technician's refrigerant handling licence is on file and in date on the day, and flags anyone whose isn't.

  3. Charge or Recover

    On the job's Materials tab, Refrigerant picks the cylinder, whether gas was added or recovered, how many kilograms and which asset. It's logged on the register against the job and the asset, the cylinder's weight moves, and the gas goes on the job as a material, priced per kilogram from your price book when the gas is in it.

  4. Record a Leak

    Record Movement logs a leak against the asset, with where it was, whether it's been repaired and how. The asset's own Refrigerant tab adds up what's been added to it, recovered from it and leaked.

  5. Invoice It

    The gas is already on the job. Create Invoice builds the draft from the job's time, parts and billable expenses, due on the customer's terms.

What the Office Sees

Every Cylinder at a Glance

The register's head counts cylinders, kilograms on hand and leak events logged. Each cylinder shows its weight against its size, where it is, who has it, whether it's company or customer owned, and its status.

Usage for Any Period

Usage Reports total what was purchased, added to systems, recovered, reclaimed, disposed of and leaked between two dates, by refrigerant type and by technician. In Reports, Trade KPIs adds the leak rate, gas recovered and unrepaired leaks.

Each System's Gas

Asset History gives a system's nameplate charge, what's been added, recovered and leaked, and its unrepaired leaks, and each asset's own Refrigerant tab shows its charge and totals on its page. A site's Compliance tab adds up the refrigerant held in its equipment, by gas and by unit. The register and each cylinder's report export as PDFs on your letterhead.

ARCtick Licences on Every Technician

Each technician's refrigerant handling licence is kept with its class, number and expiry, and a photo of the card kept private. One expiring within 60 days is flagged, and the Safety page counts whose licences are in date.

Before You Start

Worth Knowing

  • The register needs a signal. The field app's offline pack carries jobs, not the register.
  • A leak doesn't change a cylinder's weight. Gas put back into the system is recorded as its own movement.
  • The dispatch match score is a guide: it flags a technician without a refrigerant handling licence in date, and the office can still book anyone.
  • Deployr keeps the records and prints them. It doesn't submit anything to a regulator for you.

What does Deployr's refrigerant register record?
Each cylinder's number, refrigerant, size, starting and current weight, supplier, purchase and test dates, where it's kept and who has it, and whether it's a recovery cylinder or customer owned. Every purchase, charge, recovery, reclaim, disposal, transfer and leak is recorded with its quantity, date and technician, and the job and asset it was for.
Can we log refrigerant used on a job?
Yes. On the job's Materials tab, Refrigerant logs gas added to or recovered from a system against the cylinder, the job and the asset, moves the cylinder's weight, and adds the gas to the job as a material, priced per kilogram from your price book when the gas is in it.
Does it track refrigerant leaks and repairs?
Yes. A leak is recorded against the asset with where it was, whether it's been repaired and the repair details. The asset keeps its leaked total and count, and Trade KPIs in Reports counts the leaks still without a repair.
Can it check ARCtick licences at dispatch?
It checks the refrigerant handling licence number and expiry on the technician's record. Tick Refrigerant Handling under Licences Needed on the job, and the dispatch match score flags anyone without one in date on the day. The score is a guide, so the office can still book anyone. Read how
Can we record customer-owned refrigerant?
Yes. A cylinder can be marked Customer Owned and linked to the customer, and a movement can be marked as customer-owned refrigerant.
